Tracking Tissues, Cassettes & Slides in Pre-Clinical Studies

In a pre-clinical pathology department, samples can be of many types: wet tissues produced after necropsy, embedded tissues in cassettes, slides produced from sections of the embedded tissues and frozen fluids such as urine or extracted proteins. Sample labels are created and affixed to the boxes containing the tissues, the bags holding the tissues or the sample tubes, cassettes and slides. Barcodes are frequently employed to automate sample tracking procedures as the samples pass from processing station to storage location and on through the process. For each sample a complete “chain of custody” is assembled that maintains the history of times, dates, people and locations.

Matrix Track-IT records your entire process including; entry of study design, allocation of animals to each dosage group, scheduling of tissue harvesting, tracking of wet tissues, assigning tissues to cassettes, creating slides from cassettes and eventually maintaining your study inventory, including your slide archive. It records completion of each task at every step; who did it, when and any notes that are recorded during processing. Track-IT supports instances where samples from more than one cassette are contained on one slide and the reverse, where samples from one cassette may be contained on several sides.

 

A note may be attached to any tissue, cassette or slide at any step of the process. Additionally, an image may be attached, that shows the exact location of a lesion found in the tissue.

 

“Special requests” for samples required, in addition to those required by the study protocol, such as re-cuts or different staining may be entered at any time and tracked along with all the other samples in the study.

 

Once all the samples have been collected and all the slides have been read, then “Track-IT” allows for a complete study inventory to be carried out prior to placing all the samples into storage.

 

In many instances, the study protocol – dosage groups, subject ID’s; tissues to be harvested and slides to be prepared and read are contained in an “in-life” system separate to Matrix “Track-IT”. This information can be passed electronically into Matrix Track-IT, so as to reduce manual data entry and any associated errors.

 

Such a configuration of Matrix Track-IT is used to record and report on the progress of all types of samples in the pre-clinical groups of several major pharmaceutical companies.
